The Short Answer
Yes. The task assignee always receives an Overdue notification when a task passes its due time — regardless of whether they have been explicitly added to the Send overdue/missed notifications to selector in the project or task settings.
How It Works
When a task becomes overdue, Xenia sends two separate types of notifications:
1. The assignee notification (automatic)
The person assigned to the task always receives an Overdue notification. This happens automatically — no additional configuration is required. The assignee does not need to be listed in the "Send overdue/missed notifications to" selector to receive this alert.
2. The overdue/missed notifier (configured separately)
The Send overdue/missed notifications to selector is for notifying additional people beyond the assignee — typically a manager, a district manager, or a role that should be alerted when tasks are missed. This is where you add the Overdue/Missed Notifier role so that someone above the assignee is also informed.
In Plain Terms
Think of it this way:
- Assignee → always notified when their task goes overdue. No setup needed.
- Send overdue/missed notifications to → who else gets notified. This is additive — for managers, DMs, or roles who need to know when tasks at their locations are being missed.
You do not need to add the assignee to the notifier selector. Adding the assignee there would result in them receiving a duplicate notification.
Confirmed Behavior Across All Task Types
This behavior has been verified for:
- ✅ Projects (scheduled recurring tasks)
- ✅ Scheduled tasks
- ✅ One-off tasks (ad hoc)
When to Use the "Send Overdue/Missed Notifications To" Selector
Use this field to notify a role or manager when tasks are missed — not to notify the assignee (they're already covered). Best practice is to add a role here rather than a specific user, so Xenia can apply location membership scoping:
- The District Manager role added here will only receive overdue notifications for tasks at locations they oversee — not every location in the workspace.
- A specific individual added here receives overdue notifications for every location covered by the project — regardless of their own location membership.
For most multi-location operations, using a role is the recommended approach.
Frequently Asked Questions
Q: Will the assignee get a duplicate notification if I also add them to the "Send overdue/missed notifications to" selector?
Yes — they would receive the automatic assignee overdue notification AND the additional notifier notification. Avoid adding the assignee to the selector to prevent duplicate alerts.
Q: What if no one is added to the "Send overdue/missed notifications to" selector at all?
The assignee still gets their overdue notification automatically. Only the additional manager/role notification is absent. If you only need the assignee to be notified, you don't need to configure the selector at all.
Q: What's the "Notify assignee when the task becomes available" checkbox for?
That's a separate notification — it alerts the assignee at the moment the task is first generated and available to complete (i.e. at the task's start time), not when it goes overdue. It's optional and independent from the overdue notification.
Q: Does this apply to corrective tasks too?
Corrective tasks follow the same principle — the assignee is notified automatically. The overdue notifier selector in a workflow configuration is for alerting additional people beyond the assignee.
