Xenia integrates with Bluetooth thermometers from ThermoWorks and Cooper-Atkins / Copeland to eliminate manual temperature entry in checklists. Instead of reading a probe, noting the number, and typing it in — the thermometer takes the reading and it syncs automatically into the temperature step in the Xenia mobile app.

How It Works — Step by Step on Mobile

Step 1 — Enable Bluetooth on your device

Turn on Bluetooth in your phone or tablet's system Settings before opening Xenia.


Step 2 — Open your temperature checklist

Open your Daily Temp Check or any checklist with temperature steps from your task list or Templates tab.

Step 3 — Tap the Sync button on the temperature step

When you reach a temperature step, you'll see a Sync button next to the value field. Tap it.

Step 4 — The Sync Bluetooth modal appears

A Sync Bluetooth modal opens with a spinning thermometer animation and the message: "Connecting Thermometer — Please wait while we connect your phone to the Bluetooth thermometer."

Make sure your thermometer is powered on and within range. The connection establishes automatically.

Step 5 — Take the reading

Insert the probe into the item you're checking — or point the infrared gun at the surface. ThermoWorks Thermapen ONE Blue reads in 1 second. Cooper-Atkins devices read within 2–3 seconds depending on the model.

Step 6 — Reading syncs and appears automatically

The temperature value transmits via Bluetooth and populates the temperature step field immediately. You don't type anything.

Step 7 — Tap Record Temperature to confirm

Tap Record Temperature to lock the reading into the checklist step. Move to the next item — the thermometer stays connected throughout the session.

Step 8 — Out-of-range readings trigger corrective actions automatically

If a reading falls outside configured thresholds, the checklist responds before the employee can move on:

  • A follow-up question appears (e.g. "Take corrective action and add to freezer")
  • A photo may be required as evidence
  • A corrective task is auto-created and assigned to the right person at the right location
  • A manager notification is sent

Step 9 — Submit

Complete remaining steps and tap Submit. All temperature readings are stored with timestamps, submitter, and location — a permanent, paperless HACCP record.


Setting Up Temperature Thresholds

For pass/fail evaluation to work, configure limits on your temperature steps:

  1. Go to Operations → Templates → [Your Temp Log] → Edit
  2. Click into a temperature step
  3. Set Min and Max values — e.g. Cold holding: Max 41°F / Hot holding: Min 135°F
  4. Configure the response to a failing reading — follow-up question, required photo, corrective task
  5. Save and republish

Frequently Asked Questions

Q: Which step type works with Bluetooth sync?
The Temperature step type only. Make sure your checklist uses Temperature steps where you want Bluetooth sync to work.

Q: Do ThermoWorks and Cooper-Atkins devices work the same way in Xenia?
Yes — the sync flow is identical for all supported devices. Tap Sync, connect, probe, reading populates. The UI experience is the same regardless of which brand you're using.

Q: Can I still enter temperatures manually without a Bluetooth thermometer?
Yes — if no device is connected, type the value manually as normal. Bluetooth sync is optional.

Q: What if the Sync Bluetooth modal keeps spinning and doesn't connect?
Make sure the thermometer is powered on, Bluetooth is enabled on your device, and you're within range. Power cycle the thermometer and try again. If the issue persists, send a Diagnostics Report from the side menu (profile icon → Diagnostic Tools → Send diagnostic report) and contact support@xenia.team.

Q: Does the thermometer stay connected throughout the whole checklist?
Yes — once connected, it stays paired for the duration of the checklist session. You don't need to reconnect for each temperature step.

Q: Can I stop the sync if I tapped it by mistake?
Yes — tap Stop Syncing... in the Sync Bluetooth modal to cancel.
