01 Accept Invite from your Organization on Mobile

This article explains how to accept a Xenia invitation and get started with your account. You'll learn the steps from receiving the invitation email to logging in and accessing your home screen.

1. Step 1 — Check Your Email

Your manager or admin sent you an invitation from Xenia. Look for an email with a subject like "You've been invited to [Organization Name] on Xenia" or similar.

Check your spam or junk folder if you don't see it in your inbox — invitation emails occasionally get filtered.

The email will include a button — typically labeled "Accept Invitation" or "Let's go" — and your organization's name.

 

2. Step 2 — Download the Xenia App First

Before tapping the invitation link, download the Xenia app on your device:

iPhone / iPad: App Store → search Xenia → look for the purple smiley face icon → Install

Android: Google Play → search Xenia → Install

Having the app installed before clicking the invite link ensures a smoother experience — the link may open the app directly on mobile. 

3. Step 3 — Tap the Invitation Button

Open the invitation email on your phone and tap "Accept Invitation" or "Let's go."

One of two things happens:

If you're on mobile and the Xenia app is installed: The app may open directly and take you to the account setup screen. Follow the on-screen prompts.

If it opens in your browser: You'll land on a Xenia web page with an account setup form. You can complete setup here and then log in through the app afterward.

 

4. Step 4 — Set Up Your Account

On the account setup screen you'll be asked to:

Confirm your name: Your name may already be filled in from how the admin invited you. Update it if needed — this is how you'll appear in submissions and task records.

Create a password: Choose a secure password you'll remember. You'll use this every time you log in to Xenia.

Note for shared store accounts (role-based accounts): If your manager already set a password for the account and gave it to you — you may not need to set one. Just log in with the credentials provided.

5. Step 5 — Log In to the Xenia App

Once your account is set up, open the Xenia app and log in:

  1. Enter the email address the invitation was sent to
  2. Enter the password you just created (or the one your manager provided)
  3. Tap Log In

You'll land on your home screen — your tasks and daily work are right there. 

6. What to Do If the Link Doesn't Work

Blank screen or "This site can't be reached" error: The invitation link uses a short-link service that occasionally has hiccups. Wait a minute and try tapping the link again. If it still doesn't work, contact your manager and ask them to resend the invitation. Use only the link in the newest email.

"This invite is no longer valid" or similar message: Your manager may have resent the invitation, which automatically cancels the previous link. Check your email for a newer invitation and use that link instead.

"Account already exists" message: You may have already accepted the invitation previously. Go to the app's login screen and use the Forgot Password option to regain access if you don't remember your password.

Invitation never arrived: Check your spam folder. If it's not there, contact your manager and ask them to resend it or verify the email address used. 

7. After You Log In

Your home screen shows your tasks for the day — everything assigned to your role at your location. If you don't see any tasks, your admin may still be setting things up. Give it a bit of time or check in with your manager.

Turn on push notifications so you don't miss task alerts:

  • In the app: tap your profile icon (top left) → Notification Settings → turn on Push
  • On your device: Settings → Xenia → Notifications → Allow
