Can I Use Xenia Offline? What Gets Saved Without a Connection?

This article explains how to work with checklists in areas with poor or no internet connection. You will learn how to complete tasks offline and ensure your submissions sync properly when back online.

1. What Works Offline

The Short Answer

Yes. All checklist templates and forms are available in offline mode — they can be started and completed without a connection. Submissions sync automatically in the background once your device reconnects to WiFi or cellular data.

All checklist templates and forms: Every template you have access to is available offline. You can browse the Templates tab, open any form, and complete it from start to finish — without any connection. Your responses, photos, and notes are all saved locally on the device as you go.

In-progress checklists: Any checklist you've already started continues to work offline. Your answers are auto-saved continuously as you complete each step.

Already-loaded screens: Screens and data that loaded before you lost signal remain accessible while offline.

2. What Requires a Connection

Submitting a checklist: When you tap Submit, the submission needs to reach Xenia's servers. If you're offline at the moment of submission, the submission queues locally on your device and syncs automatically in the background the moment your device reconnects — whether that's WiFi or cellular data. No action needed from you.

Loading new content: New tasks, announcements, updated project data, and fresh notifications require a connection to load.

3. How Background Sync Works

When you submit while offline:

  1. The submission is saved to your device's local queue
  2. You see a confirmation that it was recorded
  3. When your device reconnects to WiFi or cellular — even in the background — the submission syncs to Xenia's servers automatically
  4. The submission timestamp reflects when you tapped Submit, not when it synced
  5. You can verify pending submissions in the Debug Panel: side menu → Diagnostic Tools → Local submissions count

4. Best Practice in Low-Connectivity Areas

  • Open your templates before entering a low-signal area so they load with any recent updates
  • Complete the checklist as normal while offline
  • The submission will sync automatically once you're back in range — you don't need to do anything

5. If a Submission Seems Stuck

If a submission shows as pending for longer than expected after reconnecting:

  1. Side menu → Diagnostic Tools → check Local submissions — if it shows "pending submit," the device hasn't synced yet
  2. Confirm your connection is active (WiFi or cellular)
  3. Try opening and closing the app — this can trigger a sync
  4. If still stuck, tap Send diagnostic report in the Debug Panel and contact support at support@xenia.team
