How Push Notifications Work on Mobile

This article explains how push notifications in Xenia alert you to important updates and tasks. You will learn how to ensure you receive these notifications effectively.

1. What Push Notifications Are

Push notifications are banner alerts that appear on your device screen — even when the Xenia app is closed. They're how Xenia tells you something needs your attention without you having to open the app and check. 

2. What Triggers a Push Notification

You receive a push notification when:

  • A new task is assigned to you — a project generated a task or someone created a one-off task for your role
  • A task is approaching its due time — a reminder before the deadline (if configured by your admin)
  • A task is overdue — your task missed its deadline
  • A new announcement was sent to your role or location
  • A new chat message arrived in a direct or group conversation
  • A Work Order was assigned to you
  • An approval action occurred — your submission was approved, rejected, or changes were requested
  • Feedback was provided on a submission you're reviewing
  • A corrective task was created from a failing checklist step

3. How to Make Sure You Receive Them

Two things must be true for push notifications to reach you:

  1. Push must be enabled in Xenia: Side menu → Notification Settings → Push toggle ON
  2. Xenia must have notification permission on your device: Device Settings → Xenia → Notifications → Allow ON

Notification Delivery Channels

In addition to push, Xenia can also deliver notifications via:

  • Email — sent to your account email
  • SMS — sent to your phone number (if enabled for your workspace)

You can have multiple channels active simultaneously. Configure in side menu → Notification Settings.
