1. What a Work Request Is
A Work Request is how you report a maintenance or facilities issue from your device. You describe the problem, attach a photo if you have one, and submit. The request goes to a coordinator or is automatically routed to the right team.
You don't need facilities access to submit a Work Request — it's the front-door way for anyone to report something that needs fixing.
2. How to Submit a Work Request on Mobile
Method 1 — From the + Button:
- Tap the + button (visible on the home screen or Work tab)
- Select Create Work Request from the options (you may also see Create Task and Create Work Order)
- Fill in the form:
- Title — describe the issue clearly: "Walk-in cooler not cooling — kitchen"
- Description — add details: where exactly, when it started, any relevant context
- Category — select the issue type (HVAC, Plumbing, Equipment, etc.) if available
- Location — confirm or select which store this is for
- Priority — select urgency if available (Low, Medium, High, Critical)
- Photos — tap to add a photo of the issue (highly recommended — helps the maintenance team understand what they're walking into)
- Tap Submit
The request is sent immediately. You'll see a confirmation.
Method 2 — From a QR Code: If a QR code is posted on or near equipment, scan it with the Xenia app. The Work Request form opens pre-filled with the asset and location — you just describe the issue and submit. (See the QR Code article for full details.)
3. After You Submit
Your Work Request lands in a coordinator's inbox or is automatically routed based on category and priority. You can track the status from the Work tab — look for the request in your Work Orders list to see whether it's Pending, Accepted, In Progress, or Completed.
