How Do I Remove a User's Access Without Deleting Their Account?

1. Three Options

Option 1 — Remove all location memberships: Settings → Users → their profile → Location Membership → remove all stores. Without membership anywhere, they log in but see no data from any location.

Option 2 — Reassign to a minimal-permission role: Create a "No Access" or "Inactive" role with all permissions turned off. Reassign the user to this role. They can log in but access no features.

Option 3 — Both together: Remove all memberships AND switch to a minimal role. Cleanest result.

Why not just delete? Deletion is permanent. If the person might return, if their history is actively referenced, or if you want to re-invite later without recreating the account — restrict rather than delete.
