Why Is a User Seeing All Locations When They Should Only See One?

1. The Three Causes — Check in This Order

Cause 1 — Role has workspace-wide task visibility: Settings → Roles → their role → check the task visibility level. "View All Tasks" gives workspace-wide visibility regardless of membership. Switch to "View Own Tasks" or "Own + Location" as appropriate.

Cause 2 — Location membership is too broad: Settings → Users → their profile → Location Membership. If they have many stores listed, or "All Locations" enabled, they see data from all of them. Remove the locations they shouldn't access.

Cause 3 — "Manage Admins" permission is on: This permission also controls whether a user has "All Locations" access. If it's on for a non-admin role, it may be granting broader location visibility than intended. Settings → Roles → their role → find "Manage Admins" → turn off.
