1. Understand Operations Templates

1. What Is a Step Type?

Every step in a template has a type that determines what kind of response the employee provides when completing the checklist. Choosing the right step type for each question makes your checklist clearer, more accurate, and more useful in reporting. A temperature reading captured as a Number step tells you a number — but a Temperature step tells you a temperature and lets you set range-based automations on it. The type matters.

Click the Add Step button to begin creating a new step in your operations template.

3. Review Available Step Types

These are all the 14 step types that are available, such as checkbox, pass /fail, take photo, text answer, multiple choice, and more. You can choose and configure your responses based on these step types.

4. Use Procedure Step

Best for: Confirmation-based steps that require the user to acknowledge completion

The Procedure step type in Xenia is a checkbox-style step used when a task needs to be completed and confirmed by the user. It allows users to mark the step as done once the procedure has been followed.

5. Pass-Fail Step

Best for: Inspections, audits, compliance checks

The Pass/Fail step allows users to indicate whether a condition meets standards. If a step is marked as Fail, users can be prompted to add notes, photos, or corrective actions.

6. Take Photo Step

Best for: Visual proof, documentation

This step allows users to capture a photo directly from their device camera.

Best for: Open-ended responses

The Text Answer step allows users to enter free-form text.

This step collects numeric values and can include units.

Users enter a monetary value with a currency symbol.

Best for: Standardised answers

Allows users to select one option from predefined choices. Specific options can be marked as Flagged Answers for reporting.

Similar to Multiple Choice but optimised for larger option sets.

13. Signature Step

Best for: Verification & approval

Requires users to provide a digital signature.

Common Use Cases:

  • Manager sign-offs
  • Compliance acknowledgement
  • Incident approvals

Allows users to select a specific date and/or time.

Supports longer formatted text blocks.

Automatically captures the user’s GPS location at the time of submission.

Performs calculations based on inputs from other steps.

In order for your calculation step type to work, you need to have at least two number steps available as well.

Calculation Step Requirements

First, assign number step types for cost of meat and cost of vegetable. Then, use the calculation step type for the total cost.

Setup Calculation Step

Click the formula to open the formula builder for configuring calculations.

The formula builder includes step description, prefix, and suffix options. Prefix and suffix allow answers in specific forms like percentages, currency, temperature, mass, or weight.

Click the dollar symbol to set the currency for your formula answer.

Click Calculation/Average to choose the type of calculation to perform.

Select Calculation Type

Click to select numeric steps such as cost of meat and cost of vegetable as references for the calculation.

Click Sum to choose the summation operation for your calculation formula.

Select Sum Operation

You can sum, subtract, multiply, or divide values as needed. When costs are entered, the total cost is automatically calculated in the preview.

20. Take Video Step

Best for: Motion-based documentation

Allows users to record and upload short videos.

Best for: External documents
