Xenia includes prebuilt dashboards and reports to help you monitor operations without building custom dashboards from scratch. This guide shows you how to use, filter, and manage these dashboards.

Step 1: Access Prebuilt Dashboards

  1. Log in to Xenia.
  2. Navigate to Reporting
  3. Select the dashboard you want to view.

Tip: Prebuilt dashboards include KPI summaries, checklist completion, and photo submission metrics.

Location Based Reports: 

  • Location Pulse Dashboard:

The Location Pulse Dashboard gives you a real-time snapshot of operational performance across one or multiple store locations. It helps leadership quickly understand:

  1. Task completion rates
  2. Overdue or missed work
  3. Store-level compliance
  4. Performance trends over time

It’s designed for owners, operations managers, and multi-location oversight.

The Gallery View is a visual reporting tool that shows photo submissions from completed tasks and checklists across locations. It’s especially powerful for:

  1. Store audits
  2. Cleanliness verification
  3. Food safety documentation
  4. Merchandising checks

Task Compliance Reports:

  • Daily Compliance Report:

The Daily Compliance Report provides a summarised view of how well your teams are completing their assigned tasks and checklists within a specific day. It focuses on operational accountability by tracking:

  3. Missed recurring projects

This report is ideal for daily operational oversight and performance monitoring.

The Scheduled Work Summary Table provides a detailed, structured view of all recurring and scheduled projects across your locations.It focuses specifically on:

  1. Recurring projects
  2. Assigned roles or users
  3. Due dates

The Scheduled Completion Report provides a performance-focused view of how recurring scheduled work is being completed over time.

While the Scheduled Work Summary shows what was assigned, the Scheduled Completion Report focuses on:

  3. Missed recurring tasks

The Task Summary Report provides a detailed overview of all individual tasks across your workspace — including one-off tasks and tasks generated from projects.

It centralises task-level data across:

  1. Locations

  3. Roles
  4. Projects

The Employee Productivity Report provides performance insights at the individual user level. This report helps leadership understand:

Template Submissions

  • Template Exports:

    The Template Exports feature allows you to download your checklist templates from the platform for external use, backup, editing, or sharing. 

Templates can be exported to:

  1. Share with leadership or stakeholders
  2. Review offline
  3. Archive for compliance records
  4. Modify in bulk

    The Approvals Report is a centralized dashboard that tracks all submitted tasks, checklists, or projects requiring managerial or administrative approval. The Approvals Report allows you to:

  1. View all pending approvals across stores or departments
  2. Track who submitted the task and who needs to approve
  3. Monitor approval status and completion timestamps

  • Apply additional filters to refine data.

Troubleshooting
