As a hotel manager, you know that assigning and tracking tasks across your hotel can be a challenging task. That's why we've developed Xenia's Task and Work Order Management tool to help you streamline this process. In this guide, we'll show you how to use Xenia's Task and Work Order Management tool to assign and track tasks across your hotel.
Step 1: Create a Task or Work Order
First, navigate to the Task or Work Order section within Xenia. Here, you can create a new task or work order or edit an existing one. For example, you might create a work order to repair a leaking faucet or a task to restock towels in a guest room.
Step 2: Assign the Task or Work Order
Next, assign the task or work order to a specific team member or group within Xenia. The assigned team member or group will receive a notification on their mobile device, and they can mark the task as completed once they finish it. You can also set a due date and priority level for each task or work order.
Step 2a (optional): Schedule Preventive Maintenance
Xenia's preventive maintenance features allow you to schedule and manage maintenance for everything from HVAC and boilers to security and emergency response systems. Inside the Task Form, you can schedule a PM task a recurring basis (Daily, Weekly, Monthly, Quarterly, Annually). Tag an Asset or Location in the Task Form and you're all set to create your recurring PM schedule! This helps you avoid costly repairs and ensures that your equipment is always in top condition.
Step 3: Monitor Task Progress in Real-Time
Once the task or work order is assigned, you can monitor its progress in real-time within Xenia. You can see when the task was assigned, when it's due, and when it's completed. This helps you stay on top of your hotel's operations and ensure that tasks are completed on time.
Step 4: Review Completed Tasks and Provide Feedback
After each task or work order is completed, you can review the task and provide feedback and comments to the Assignee or Team.
